These Terms and Conditions govern use of the Private Belize Adventure website and direct reservations made with Private Belize Adventure by website, checkout, email, phone, WhatsApp, invoice, or another written direct-booking channel. By submitting a booking, making a payment, or participating in a confirmed tour, the customer agrees to these Terms and Conditions and the policies linked below.
Please also review our Cancellation and Refund Policy, Liability Waiver, Travel Insurance Advisory, and Privacy Policy. Together, those pages form part of the direct-booking terms.
1. Business details and how to contact us

Tour pickup is provided from confirmed hotels, cruise-port meeting areas, airports, water-taxi terminals, and other agreed locations. The business address above is not a general tour meeting point. Customers must use the pickup instructions in their booking confirmation.
2. Website information and acceptable use
This website provides information about tours, excursions, transportation, pickup areas, prices, availability, and travel-planning services. Customers may use the website only for lawful personal or business travel-planning purposes and must not interfere with its security, forms, payment connections, availability tools, or content.
We make reasonable efforts to keep tour descriptions, availability, prices, durations, inclusions, exclusions, and pickup information accurate. Conditions in Belize can change, and typographical, technical, or pricing errors may occasionally occur. A website display, automated availability message, or submitted form is not a final promise of service until Private Belize Adventure issues written confirmation.
3. Eligibility, group authority, and booking confirmation
The primary booker must be at least 18 years old and must provide accurate contact, date, guest-count, pickup, and traveler information. A person booking for a group confirms that they are authorized to arrange the reservation, will share these policies and all safety information with every participant, and will promptly provide information needed for minors or travelers with special requirements.
A reservation request becomes confirmed only when Private Belize Adventure accepts it in writing. Confirmation may be provided by email, invoice, WhatsApp message, or another written business channel. Paying a deposit or full amount does not force acceptance if the date, guide, activity, transportation, or supplier is unavailable. If we cannot accept a paid request, we will offer a reasonable alternative or refund the amount received for the unavailable service.
The checkout option labeled “Reserve now / Pay later” submits a reservation request. It does not guarantee availability or create a confirmed booking until written confirmation is issued.
4. Tour details, guest counts, and special arrangements
Customers must review the selected tour page and written confirmation, including the activity, scheduled date, expected duration, pickup location, inclusions, exclusions, age or fitness guidance, and any required documents. Approximate start, travel, activity, and return times are planning estimates rather than guarantees.
Prices may change when the number or ages of travelers, pickup location, transportation choice, activity, private arrangement, permit requirement, or add-on changes. The customer must notify us before the tour of any change in the group. Additional guests are not accepted unless confirmed, and a reduction in guest count does not automatically reduce a private-group price.
Special requests, including accessibility support, dietary requests, child seats, custom pickup, private timing, or celebration arrangements, are not guaranteed unless accepted in writing.
5. Prices, currency, deposits, and payment
Unless stated otherwise, prices are quoted in United States dollars. A quotation is subject to change until the reservation is confirmed. The final confirmation or invoice should identify the tour price, deposit or amount due, balance deadline, selected add-ons, and any known third-party charges.
Private Belize Adventure may require a deposit, full payment, or payment by an agreed deadline. A deposit is applied toward the confirmed total. Any unpaid balance remains due on the date and by the method stated in the confirmation. We may cancel a reservation if the required payment is not received after reasonable notice.
Online card and account details are collected by the selected payment provider, such as Stripe or PayPal, rather than stored as complete card details in WordPress. Customers are responsible for exchange-rate differences and charges imposed by their bank, card issuer, transfer service, or payment account. Processing fees and supplier charges may be non-refundable as explained in the cancellation policy.
Government fees, attraction fees, meals, transportation, gratuities, and other items are included only when the tour page or confirmation expressly says they are included.
6. Cancellations, rescheduling, and refunds
Our complete Cancellation and Refund Policy applies to direct bookings. Unless a tour page, custom quote, invoice, or written confirmation clearly states different terms, the standard schedule is:
- Seven days or more before the scheduled tour: full refund of amounts paid, less non-refundable payment-processing charges and third-party reservation costs already incurred.
- From 72 hours to less than seven days before the scheduled tour: 50 percent refund of the total booking amount, subject to non-refundable third-party costs.
- Less than 72 hours before the scheduled tour: no refund.
- No-show, missed pickup, or late arrival that causes a missed departure: no refund.
Cancellation and change requests must be sent in writing. The time of receipt in Belize local time determines the applicable window. Where a booking was made through a marketplace, hotel, travel advisor, cruise partner, or another third party, that seller’s displayed cancellation and refund terms may control.
We may approve a requested date change when notice is provided at least 48 hours before departure, but rescheduling is subject to availability and supplier terms. A price difference, rebooking cost, or non-refundable supplier charge may apply.
7. Pickup, cruise, island, airport, and border connections
The customer must provide complete hotel, cruise ship, tender, airport, water-taxi, local-flight, or custom-pickup details and monitor the communication channel used for confirmation. Pickup is complete only when the location and time are accepted in writing.
Cruise guests must provide the ship name, scheduled port date, expected tender availability, and all-aboard time. Island guests must confirm water-taxi or local-flight arrangements. International or cross-border travelers, including guests traveling to Guatemala, are responsible for valid passports, visas, entry permissions, departure fees, and other required documents unless the confirmation expressly states otherwise.
Private Belize Adventure is not responsible for a missed service caused by incorrect information, late arrival, a missed independent connection, immigration delay, or failure to carry required documents. When a cruise call, tender, airline, water taxi, road, or border operation changes, contact us immediately so we can evaluate a safe adjustment, reschedule, credit, or refund under the written booking terms and any unrecoverable supplier costs.
8. Guest health, safety, conduct, and personal property
Before booking, guests must review the physical and safety requirements and disclose information reasonably necessary to plan safe participation, including relevant mobility limitations, pregnancy, serious allergies, swimming concerns, recent surgery, heart or breathing conditions, fear of enclosed spaces, or other conditions that may affect an activity. We use this information for safety and tour coordination as described in the Privacy Policy.
Guests must follow the instructions of guides, drivers, captains, attraction staff, and activity operators; use required safety equipment; remain with the group; and avoid conduct that endangers any person. We may refuse or end participation without refund when a guest is intoxicated, abusive, threatens safety, refuses required equipment or instructions, or materially misrepresented information needed for safe participation.
Guests remain responsible for passports, money, medication, phones, cameras, luggage, jewelry, and other property. Water, humidity, rain, caves, vehicles, boats, and outdoor environments can damage valuables. Bring only suitable items and use waterproof protection when appropriate.
9. Operational changes, weather, and force majeure
Safety and actual conditions take priority over the advertised order of activities. We may reasonably change a guide, vehicle, boat, route, pickup point, start time, attraction, activity order, or duration because of weather, river or sea conditions, road closures, site access, equipment, government direction, safety, supplier disruption, or another operational need.
If the main service can still be delivered in a reasonably comparable and safe form, an itinerary adjustment does not automatically create a refund. If Private Belize Adventure cancels the affected service before departure and no acceptable reschedule or substitute is agreed, the customer may receive a refund of the amount paid directly to Private Belize Adventure for that cancelled service.
Neither party is responsible for failure or delay caused by circumstances beyond reasonable control, including hurricanes, tropical storms, flooding, fire, epidemic, pandemic, civil disturbance, government action, border closure, transport shutdown, utility failure, labor disruption, or another force majeure event. We will make reasonable efforts to communicate and offer the remedy stated in the applicable booking terms.
10. Assumption of risk and liability
Belize tours may involve inherent travel and outdoor risks, including vehicles, boats, caves, rivers, ocean conditions, uneven terrain, heights, wildlife, insects, weather, heat, remote locations, and limited access to immediate medical care. Every participant must review the Liability Waiver and Assumption of Risk. Additional signed waivers may be required by Private Belize Adventure, an attraction, or an activity supplier.
To the fullest extent permitted by applicable law, Private Belize Adventure is not liable for loss arising from inherent risks voluntarily accepted by a participant, a participant’s failure to follow instructions or disclose relevant information, events outside reasonable control, or the independent acts or omissions of a third-party supplier.
Where liability may legally be limited, total liability for a claim connected with a specific direct-booked service will not exceed the amount paid to Private Belize Adventure for that service. Nothing in these Terms excludes or limits liability that cannot lawfully be excluded or limited, including liability arising from fraud, willful misconduct, gross negligence, or another non-excludable legal duty.
11. Third-party services and travel insurance
A tour may involve independent attraction operators, guides, captains, vehicle operators, water taxis, local airlines, restaurants, parks, reserves, or other suppliers. Their operating rules, safety requirements, waivers, schedules, and cancellation terms may also apply. Private Belize Adventure remains responsible for its own obligations but does not control every independent supplier or transport provider.
Every traveler is strongly encouraged to purchase suitable personal travel insurance as soon as practical after booking. Coverage should be considered for medical care, medical evacuation, trip cancellation or interruption, delays, missed connections, baggage, weather, and the activities planned. See the Travel Insurance Advisory. Private Belize Adventure does not sell insurance or decide insurance claims.
12. Privacy, communications, and electronic acceptance
We collect and use booking, contact, payment-status, pickup, and safety information as described in our Privacy Policy. By making an inquiry or booking, the customer authorizes operational communication by email, phone, SMS, or WhatsApp. Marketing messages are separate from messages reasonably needed to answer an inquiry or deliver a booking.
Checking the policy-acceptance box and submitting the checkout form is an electronic acceptance of the displayed policies. We may retain the booking details, acceptance time, and policy version with the reservation record. Electronic confirmations, invoices, notices, and records may be retained and used for subsequent reference.
13. Website content and intellectual property
Website text, branding, original graphics, tour descriptions, layouts, photographs, and other content are owned by or licensed to Private Belize Adventure unless otherwise stated. Content may be used for personal travel planning but may not be copied, republished, sold, scraped at scale, or presented as another operator’s content without permission.
14. Complaints, payment disputes, governing law, and severability
If a problem occurs, contact us promptly with the booking name, date, and a clear description so we can investigate while records are available. Where practical, customers should contact Private Belize Adventure before starting a chargeback. Nothing in this section removes any non-waivable consumer or payment-dispute right. We may provide the payment provider with the confirmation, policy acceptance, communications, and service records relevant to a dispute.
These Terms and Conditions and direct bookings are governed by the laws of Belize. Disputes are subject to the courts and legal processes of Belize unless a mandatory law requires another forum. If a provision is invalid or unenforceable, it will be limited or removed only to the extent necessary, and the remaining provisions will continue.
15. Policy updates and contact
We may update these Terms and Conditions for future bookings. The policy version accepted when a booking is submitted will normally govern that booking unless the parties agree otherwise in writing or applicable law requires a different result. A specific written tour term, quote, invoice, or confirmation may override a general term for that booking when the difference is clearly stated.
