This Booking, Cancellation, and Refund Policy applies to reservations made directly with Private Belize Adventure through this website, checkout, email, phone, WhatsApp, invoice, or another written direct-booking channel. It should be read with our Terms and Conditions.
Standard direct-booking cancellation schedule
- Seven days or more before the scheduled tour: full refund of amounts paid, less non-refundable payment-processing charges and third-party costs already incurred.
- From 72 hours to less than seven days before the scheduled tour: 50 percent refund of the total booking amount, subject to non-refundable third-party costs.
- Less than 72 hours before the scheduled tour: no refund.
- No-show, missed pickup, or late arrival that causes a missed departure: no refund.
1. Scope and which policy controls
The schedule above is the standard policy for direct bookings unless a tour page, custom quotation, invoice, permit, special event, supplier term, or written confirmation clearly states a different cancellation rule. When a specific written term differs from this page, the specific term controls for that reservation.
If a reservation was purchased through a marketplace, hotel, travel advisor, cruise partner, payment link belonging to another seller, or another third-party channel, the cancellation and refund policy displayed by that seller may control. Requests for those bookings may need to be submitted through the original booking channel.
2. Confirmation, deposits, and balance payments
A submitted request is not confirmed until Private Belize Adventure accepts it in writing. A deposit, full payment, or agreed payment deadline may be required. The written confirmation should identify the selected tour, date, group, pickup arrangement, price, amount paid, balance due, and any special supplier term.
A deposit is applied toward the confirmed booking total. Deposits and full payments follow the same cancellation schedule unless the confirmation identifies a non-refundable deposit or supplier charge. Failure to pay an agreed balance after reasonable notice may result in cancellation, and any refund will be calculated under the applicable cancellation window and supplier commitments.
3. How cancellation time is calculated
Cancellation requests must be made in writing by email, WhatsApp, or another written channel accepted by Private Belize Adventure. The request is effective when received, not when sent. Belize local time and the confirmed tour start time are used to determine the cancellation window.
For clarity, the 50 percent window begins 72 hours before the tour and extends back to, but does not include, the point seven full days before the confirmed start. A request received less than 72 hours before the confirmed start falls in the no-refund window.
4. Non-refundable and unrecoverable costs
Even when a full or partial refund otherwise applies, the following amounts may be deducted if they were disclosed or reasonably incurred for the booking and cannot be recovered:
- payment-processing, bank-transfer, currency-conversion, or transaction charges not returned by the provider;
- government, park, reserve, permit, border, or attraction fees;
- water-taxi, local-flight, boat, vehicle, lodging, meal, or other supplier reservations;
- custom equipment, staffing, guide, or private-arrangement costs;
- special-event, holiday, or restricted-capacity supplier charges; and
- other third-party amounts identified as non-refundable in the quotation or confirmation.
When a deduction applies, we will provide a reasonable explanation of the category of cost. We will not deduct a third-party cost that was not incurred or committed.
5. Customer rescheduling and booking changes
Requests to change the tour date should be made at least 48 hours before the confirmed start. A change is not effective until accepted in writing and is subject to guide, vehicle, supplier, attraction, permit, and transportation availability.
Private Belize Adventure may allow one courtesy date change in its discretion. A price difference, supplier charge, or rebooking cost may apply. If a requested change cannot be accepted and the customer chooses to cancel, the original cancellation window remains applicable.
Changes to the number or ages of guests, pickup point, transfer method, tour, or add-ons may change the price. A lower guest count does not automatically reduce a private-group price, particularly after transportation, guides, or supplier capacity have been reserved.
6. Late arrival, no-show, and unused services
Customers must be ready at the confirmed pickup point and time. No refund is due when a customer fails to appear, arrives too late for a safe or feasible departure, provides an incorrect location, misses an independent connection, or chooses not to use a confirmed service.
If a guest leaves after the tour starts or declines an included activity for personal preference, fear, fitness, weather comfort, illness not caused by the operator, or another personal reason, the unused portion is not automatically refundable.
7. Safety refusal and guest conduct
A refund is generally not due when participation is refused or ended because a guest is intoxicated, abusive, threatens safety, refuses required equipment or instructions, lacks a required document, or failed to disclose information reasonably needed to assess safe participation.
Where a disclosed health, mobility, age, or safety issue means the selected activity is unsuitable, contact us as early as possible. We may be able to offer a safer alternative, different date, credit, or refund depending on notice, availability, and supplier costs, but no particular remedy is guaranteed unless accepted in writing.
8. Cancellation by Private Belize Adventure
Private Belize Adventure may cancel or materially change a service before departure because of unsafe weather, river or sea conditions, road or site closure, guide or vehicle emergency, government direction, supplier failure, force majeure, or another operational condition that prevents reasonable delivery.
If we cancel the affected service before departure, we will offer a reasonable substitute, reschedule, booking credit, or refund of the amount paid directly to Private Belize Adventure for that cancelled service. If the customer does not accept a materially different substitute or reschedule, a refund is available for the service we cancelled, less only any separately authorized and unrecoverable third-party item that remains usable by the customer.
Private Belize Adventure is not responsible for airfare, lodging, meals, lost vacation time, independent transportation, or other consequential costs not purchased directly from us, except where applicable law requires otherwise.
9. Weather, route changes, and partial operation
Rain, heat, wildlife behavior, visibility, traffic, river level, ocean conditions, attraction access, and other natural or operational conditions can change. For safety or feasibility, a guide may adjust the order, timing, route, pickup point, or activity while still delivering the main service in a reasonably comparable form.
A safe and reasonable adjustment does not automatically qualify as a cancellation or refund. If a material portion cannot be delivered, Private Belize Adventure will evaluate a substitute, reschedule, credit, or partial refund based on the part delivered, the reason for disruption, and unrecoverable supplier costs.
10. Cruise, tender, flight, water-taxi, and border disruptions
Customers must provide accurate ship, tender, all-aboard, flight, water-taxi, hotel, and border information. When a cruise call is cancelled, tender operations stop, a flight or water taxi is disrupted, or a border or road closes, contact Private Belize Adventure immediately.
Any cruise-specific, weather-specific, or connection guarantee stated in the tour page or written confirmation will be applied. If no special guarantee was stated, this general policy applies, taking into account the notice received, whether the tour can reasonably be adjusted, and any unrecoverable supplier costs. A delay or missed independent connection caused by the customer does not create an automatic refund.
11. Force majeure
Force majeure includes events beyond reasonable control, such as hurricanes, tropical storms, floods, fire, epidemic, pandemic, civil disturbance, labor disruption, transport shutdown, government action, border closure, utility failure, or a comparable event. We will make reasonable efforts to communicate and find a practical alternative.
Where performance is impossible, remedies are limited to the options stated in the confirmation and this policy, subject to amounts already and irreversibly paid to independent suppliers. Nothing in this section removes a right that cannot legally be limited.
12. Refund method and processing
Approved refunds are returned to the original payment method whenever reasonably possible. Before submitting a refund, we may request the booking name, confirmation number, payment reference, reason for cancellation, and supporting documentation needed by a supplier or payment provider.
We will notify the customer when the refund has been submitted. Posting time is controlled by the bank, card issuer, PayPal, Stripe, or other payment provider and may vary by country and payment method. Exchange-rate changes or provider fees can cause the amount received in the customer’s local currency to differ from the original statement amount.
13. Questions, complaints, and payment disputes
Contact us promptly if a cancellation, refund, or billing amount appears incorrect. Where practical, customers should allow us a reasonable opportunity to review the booking before beginning a chargeback. Nothing in this policy prevents a customer from using a lawful payment-dispute or consumer right.
When a payment dispute is opened, Private Belize Adventure may provide the payment provider with relevant booking details, confirmation, policy acceptance, cancellation communications, attendance, and service records.
